Overview
We are seeking a professional and personable Front of House Coordinator to join our team. This role is vital in ensuring a welcoming and seamless experience for our guests, acting as the first point of contact and representing the organisation's high standards of service. The ideal candidate will possess excellent communication skills, a friendly demeanour, and a strong understanding of guest services within a hospitality environment.
Duties
- Welcome visitors to Festival Place Management Suite and direct them accordingly this includes Visitors, Customers, retailers and contractors, provide refreshments for meetings if required
- To open and close Reception and fulfil all associated duties
- Respond to telephone calls and emails in a professional, friendly, and effective manner
- Carry out administration functions for the Operation and Client team as required i.e., fire audit, waste sheet, accident reports, etc
- Monitor and escalate any customer complaints received via phone and Information mailbox. Provide a weekly feedback and action log and share with Centre Management team
- Manage the booking of meeting rooms, ensure meeting room are kept to a good standard and cleaned after use
- Ensure The management suite is kept clean and tidy and assist with the upkeep of the area and assist with end of day close down of the office, this will include some cleaning tasks
- Manage Visitor parking validation via the Hozah systems
- Review the Vantify to ensure incidents reports are reported and permit to work issue are correct etc
- Maintaining stock levels of office provisions e.g., milk, coffee etc
- Manage Not Lost platform for lost property items
- Manage retailer payments for additional services i.e. waste removal, keys, waste bags
- To be an active Fire Warden for Paddington House, including role call duties
- Provide cover for other administration roles in the absence of a colleague
- Provide administrative assistance to the Centre Management teams and cross- departmental cover for absent colleagues
- Complete any other reasonable duties required to meet business needs outside of standard daily tasks
- Carryout the replenishment of vending machines, drinks and snacks
